This policy explains what information CamCore may process, why it is needed and how it is protected.

1. Scope

This policy applies to CamCore websites, Cameron-Media, Microsoft 365 services, managed devices, support, monitoring and approved private systems.

2. Information CamCore may process

  • Name, email address and approved account details
  • Device name, operating system and management state
  • Authentication, sign-in and security events
  • Plex access, playback and request information
  • Support messages, screenshots and attachments
  • Service health, monitoring and diagnostic logs
  • Network information required for security and troubleshooting
  • Website analytics information such as page views, referral source, browser or device type, approximate location and website interactions

CamCore does not intentionally collect information unrelated to operating, securing, improving or supporting its services.

3. How information is used

4. Monitoring and logs

CamCore services may record activity such as sign-ins, service access, playback, requests, device status and administrative changes. Monitoring is used for reliability, troubleshooting, capacity planning, security and fair use.

Monitoring does not remove the responsibility to keep private credentials and information secure.

5. Website analytics

CamCore’s public websites at camcore.au and status.camcore.au use Google Analytics to measure page views, referral sources, general browser and device information, approximate geographic information and website interactions. Google Analytics may use cookies or similar technologies to provide these measurements.

Analytics is used to understand aggregate website usage, identify content that needs improvement and assess the effectiveness of public information. CamCore does not sell analytics information or use it to decide who may access private services.

6. Access and sharing

Access to information is limited to authorised administrators and service providers where needed to operate the relevant service. CamCore does not sell user information.

External services—including Microsoft, Plex, Better Stack and Google Analytics—may process information according to their own service terms when those platforms are used. YouTrack is self-hosted within CamCore-managed infrastructure, and its CamCore-owned support hostname delivers the embedded form on the Support page.

7. Retention and deletion

Information is retained only for as long as it remains useful for service operation, security, support, backup, recovery or legitimate record keeping. Retention differs by system and data type.

Backups and logs may remain for a limited period after an active record is removed.

8. Questions, corrections and privacy requests

Use CamCore Support or email help@camcore.au to ask what information is held, request a correction or raise a privacy concern.

Browser privacy controls, content blockers and cookie settings may be used to limit website analytics collection.

Do not send passwords, authentication codes, recovery keys or unnecessary identity documents.

Terms of Access

These terms apply to approved use of CamCore services, accounts, devices and private systems.

1. Eligibility and approval

CamCore is a private network. Access is provided only to people, accounts and devices that have been individually approved.

Opening a public CamCore page does not grant access to Plex, Microsoft 365, NetBird, private websites or administrative systems.

2. Individual accounts

  • Use only the account issued or invited for you.
  • Do not share passwords, invitations or sessions.
  • Do not allow another person to use your access.
  • Keep authentication methods current and secure.
  • Report suspicious access immediately.

3. Availability

CamCore aims to provide reliable services but does not guarantee uninterrupted availability. Services may be affected by maintenance, software faults, internet outages, power events, hardware failure or third-party providers.

Current incidents and planned maintenance are published in CamCore Status where appropriate.

4. Service changes

CamCore may add, change, move, restrict or retire a service when needed for security, reliability, cost, maintenance or operational simplicity.

Where practical, affected users will receive appropriate notice of material changes.

5. User responsibilities

  • Follow the Acceptable Use, Media Rules and Account and Device Use policies.
  • Keep devices reasonably secure and updated.
  • Use private information and links responsibly.
  • Do not bypass access, security or service controls.
  • Provide accurate information when requesting support.

6. Suspension or removal

Access may be limited or removed when it is no longer required, a service is retired, an account is shared, security is at risk, a device is untrusted or a policy is repeatedly ignored.

Removal may occur without advance notice where immediate action is required to protect users, systems or data.

7. Support and questions

Use CamCore Support for access problems, service issues or questions about these terms. Email is also available at help@camcore.au.

Acceptable Use

Use CamCore responsibly and securely.

This policy defines expected behaviour and activity that may place users, systems or data at risk.

1. Expected use

Use CamCore only for its intended personal, family, operational or approved organisational purpose. Follow service-specific guidance and avoid activity that creates unnecessary disruption or risk.

2. Accounts and access

  • Use only your own approved account.
  • Do not share invitations, passwords, sessions or private links.
  • Do not attempt to access another user’s information.
  • Do not give CamCore access to an unapproved person or device.
  • Report unexpected access or authentication prompts.

3. Security responsibilities

  • Keep devices updated and protected.
  • Do not disable required security controls.
  • Do not install malicious, unapproved or pirated software on managed devices.
  • Do not expose internal services to the public internet.
  • Do not publish private IP addresses, credentials or administration links.

4. Prohibited activity

  • Unauthorised access, scanning or exploitation
  • Deliberate service disruption or excessive automated requests
  • Credential theft, phishing, malware or harmful content
  • Circumventing network, device, media or account controls
  • Using CamCore for unlawful, abusive or deceptive activity
  • Redistributing private service access

5. Content and communication

Support messages, uploads and service requests must be lawful, respectful and relevant. Do not upload unnecessary personal information, confidential material belonging to another person or content that creates a security risk.

6. Fair use

Use shared storage, bandwidth, media and processing resources reasonably. Repeated avoidable transcoding, excessive downloads, unattended streams or automation that degrades service may be limited.

7. Response to misuse

CamCore may investigate, restrict, suspend or remove access when activity creates risk, affects other users or breaches this policy. Immediate action may be taken during a security incident.

Questions or suspected misuse should be reported through CamCore Support.

Cameron-Media Rules

Better playback starts with clear expectations.

These rules apply to approved Cameron-Media Plex users, media requests and shared library use.

1. Access

  • Cameron-Media is invitation-only.
  • Use only your own Plex account.
  • Do not share invitations, passwords or sessions.
  • Access is intended for approved users in Australia and New Zealand.
  • Access may be removed when it is shared, unused, insecure or no longer required.

2. Playback quality

Cameron-Media is designed around 1080p Direct Play.

  • Set remote and home video quality to Original or Maximum.
  • Disable automatic quality reduction where practical.
  • Use a supported Plex app and a stable connection.
  • Avoid routine video transcoding.
  • Audio or subtitle conversion may occur on some clients where required.

Streams causing avoidable or excessive resource use may be stopped while the configuration is reviewed.

3. Media requests

Submit Movies and TV Shows through Cameron-Media Requests.

  • Search before creating a request.
  • Requests are reviewed individually.
  • Approval is not guaranteed.
  • Availability, quality, storage, suitability and duplication may affect the decision.
  • Use Support for faults, not the request portal.

4. Content scope

Cameron-Media primarily provides Movies, TV Shows and Live TV. Adult content is not accepted. Content that is unlawful, unsafe or inappropriate for the private service may be declined or removed.

5. Retention and cleanup

Watched, inactive or low-demand content may be placed in Leaving Soon and removed under the current retention rules. The exact criteria may change as storage, demand and service needs change.

Content specifically retained by CamCore is excluded from normal automated cleanup.

6. Fair use

  • Do not leave streams running unattended.
  • Do not repeatedly restart failed playback without checking settings.
  • Do not share the service outside the approved user group.
  • Do not attempt to download or redistribute library content through unauthorised methods.
  • Respect maintenance and incident notices.

7. Problems and support

Check CamCore Status first. For playback, access, subtitles, audio or missing-episode problems, use CamCore Support and include the title, device, time and error.

Account and Device Use

Your account. Your device. Your responsibility.

This policy explains the minimum expectations for CamCore identities, Microsoft 365 accounts and supported devices.

1. Individual accounts

  • Each person must use their own approved identity.
  • Shared mailboxes and application identities may be used only for their intended function.
  • Do not share Plex, Microsoft 365, NetBird or administrative access.
  • Use the correct personal or organisational account when prompted.
  • Access may be removed when no longer required.

2. Passwords and authentication

  • Use a unique password and keep it private.
  • Use multi-factor authentication where supported.
  • Use Windows Hello, Microsoft Authenticator or another approved method where configured.
  • Never send passwords, authentication codes or recovery codes to support.
  • Report unexpected sign-in or approval prompts immediately.

3. Supported and managed devices

CamCore-managed Windows computers use Windows 11 Pro and are enrolled in Microsoft Intune. Other supported devices may be Microsoft Entra registered or managed through another approved model; these states are not interchangeable.

  • Keep Windows and applications supported and updated.
  • Do not remove management profiles without guidance.
  • Use the assigned device name when requesting support.
  • Do not enrol an unapproved device.

4. Security controls

  • Microsoft Defender and Windows Firewall must remain enabled.
  • Do not disable security controls as a general troubleshooting step.
  • Only approved applications should be installed on managed devices.
  • Encryption requirements are applied deliberately and must include recovery planning.

5. Data, OneDrive and recovery

Users are responsible for allowing approved synchronisation and backup processes to complete. Before unlinking OneDrive, changing the Windows profile or resetting a device, identify local-only files and confirm recovery access.

Recovery keys and sensitive credentials must be stored securely and must not be included in ordinary support tickets.

6. Lost, replaced or retired devices

Report a lost or stolen device immediately. CamCore may revoke sessions, remove NetBird access, retire the device record or initiate other protective action.

Before a device is replaced or retired, required data, applications and authentication methods should be confirmed.

7. Support

Use CamCore Support for account, sign-in, device, Company Portal, OneDrive or application problems. Include the device name, affected account and exact error.

Confirm whether an active incident or maintenance notice already explains the problem.

Retry once

Close and reopen the affected app or page. Do not repeatedly restart devices or services.

Check your connection

Confirm internet access and, for private systems, CamCore LAN or NetBird connectivity.

Record the error

Note the service, device, time, network and exact message before submitting support.

Cameron-Media

Playback and requests.

Plex will not open or sign in
Check the Status tab, confirm you are using the Plex account that received access, then try the Plex app and browser once. Submit a support request when access still fails.
Playback quality is poor or buffering
Set video quality to Original or Maximum. Disable automatic quality reduction where practical. Cameron-Media is designed around 1080p Direct Play rather than routine video transcoding.
Audio, subtitles or language are wrong
Open the playback options and select the intended audio and subtitle tracks. Report the title, episode, client device and incorrect track when the expected option is missing.
A Movie or TV Show is missing
Use Cameron-Media Requests to search and submit the title. Requests are reviewed individually and are not guaranteed.
Content appears in Leaving Soon
Leaving Soon identifies content being reviewed under the current retention rules. Content specifically retained by CamCore is excluded from normal automated cleanup.

Accounts and devices

Microsoft 365 and managed access.

Microsoft 365 will not sign in
Confirm the correct organisational account, internet access, device date and time, and whether sign-in works in a private browser window. Do not remove the work account or Windows profile without support guidance.
OneDrive is not synchronising
Check available storage, the signed-in account and the displayed sync error. Do not unlink OneDrive until any local-only files have been identified and protected.
A managed application or printer is missing
Open Company Portal, confirm the correct account and run a device sync. Allow time for policy processing before submitting support with the device name and application or printer required.
NetBird or a private service is unavailable
Confirm NetBird shows connected while away from the CamCore home network. Private services require the CamCore LAN or an authorised NetBird connection. Do not expose or share private administrative links.
A device is lost or stolen
Report it immediately through Support so account sessions, NetBird access and managed-device records can be reviewed.
